FlowShare 3.0 is finally here and it’s one of our most significant product updates to date.
This release introduces a modernized interface, faster workflows, improved exports, and new Portal capabilities designed to support teams working with complex processes, training materials, and enterprise documentation.
Big milestones deserve a name. That’s why we’re introducing named major releases, starting with Golden Gate.
FlowShare 3.0 Golden Gate delivers a complete UI refresh and introduces a durable design system we can build on for years to come. Since launching our US subsidiary in 2024, our office has been based in San Francisco, making the name a subtle nod to our home base.
Naming major releases after legendary bridges also reflects FlowShare’s mission: bridging skill gaps and helping people move confidently through change. In practice, FlowShare connects expert know-how with the people who need it, exactly when they need it.
The Golden Gate Bridge is known for bold color, elegant engineering, and a design that stands the test of time while scaling with whatever comes its way. FlowShare 3.0 follows the same spirit.

A Completely Refreshed User Interface
FlowShare 3.0 introduces a fully redesigned interface focused on clarity, structure, and long-term scalability.
The Settings, Sidebar, and Export screens have been reworked with a cleaner, more intuitive layout. Visual noise has been reduced, navigation is more predictable, and key actions are easier to access, even in long or complex documentation flows.
The renewed left sidebar now features smoother animations and expandable grouped steps. This makes it significantly easier to manage large process recordings, review captured steps, and stay oriented when documenting enterprise systems such as SAP, internal platforms, or legacy software.
Faster Documentation with Extended Keyboard Navigation
FlowShare 3.0 is designed for people who document frequently and at scale.
Keyboard navigation has been expanded across Export and Settings dialogs, including new shortcuts that reduce context switching and speed up configuration. Interactive HTML demos also support keyboard navigation, allowing viewers to move through steps using the left and right arrow keys.
These improvements benefit both creators producing documentation and users consuming guides during onboarding, training, or system rollouts.
Smarter Export Options for Professional Documentation
Exports are often where documentation tools create extra work. FlowShare 3.0 removes that friction.
A new default export layout places descriptions before images across all export formats, improving readability and making process context immediately clear. For teams that prefer the previous structure, an option remains available to switch back to image-first layouts.
PowerPoint exports now support full-size, text-only slides without empty image placeholders. This is ideal for overview sections, process explanations, and executive or stakeholder presentations.
Custom Word templates also benefit from improved cover page handling, resulting in more polished, professional documentation right from the first page.
Design Refinements and Reliability Improvements
FlowShare 3.0 includes a series of targeted design enhancements and fixes that improve day-to-day usability.
A new XS arrow size has been added to the Design settings, supporting very compact interactions and dense enterprise interfaces. Handling of special characters, including ampersands (&) in project titles, has been improved to ensure consistent exports across all formats.
Alongside these visible changes, the release includes numerous smaller fixes and performance improvements that contribute to a smoother, more reliable experience overall.
FlowShare Portal Updates: Labels and Permissions for Scalable Knowledge Sharing
FlowShare 3.0 also introduces important updates to the FlowShare Portal, supporting teams that manage documentation across departments, regions, and use cases.
Labels for Better Organization and Discoverability
Labels make it easier to structure and retrieve documentation as your knowledge base grows. Guides can be categorized by system, department, process type, or project phase, helping teams quickly find relevant content and reuse existing knowledge instead of recreating it.
This structure supports faster onboarding, more efficient training, and long-term knowledge retention across the organization.
Permissions for Controlled Access and Compliance
The new permission feature allows teams to control who can access specific guides in the FlowShare Portal. This is especially valuable for regulated environments, sensitive processes, or cross-functional collaboration where not all documentation should be visible to everyone.
With permissions in place, organizations can share knowledge confidently while maintaining governance and compliance standards.
