The guides are yours and exist independently of it. Every Flow can be exported to Word, PDF or PowerPoint using your own documentation templates and stored wherever you choose, so ending a subscription does not leave your documentation stranded inside a platform.
No. The Portal is a web application, so anyone invited can browse, search and use FlowShare Assist from a browser. Only the people who create guides need FlowShare Desktop, our software for Windows, installed, which is what keeps the licensed-seat count low.
Capture stays on the desktop, because FlowShare is on-premise documentation software, and the Portal is the optional place to publish. The Portal backend, database and storage are hosted in Frankfurt, Germany. AI features run on Azure OpenAI within the EU, in France and the Netherlands. Your data is not shared with third parties and is not used to train external models.
Assist reads the text and images of your published guides and answers only from that content. Every answer links back to the original step in the original Flow, so anyone can verify it rather than trusting it. It runs on Azure OpenAI within the EU.

Yes. Tag Flows with labels, group your members, then link groups to labels so people see only what applies to them. Flows with no label are visible to everyone, which is worth knowing before publishing anything sensitive.

The Portal supports single sign-on and two-factor authentication, with Admin, Author and Viewer roles controlling what each member can do. Flows are private by default and are not indexed by search engines unless you deliberately choose otherwise.
